1 November 2024“Briefing” is a term that PCOs (Professional Congress Organizers) know well. In fact, this word cannot be missing from the glossary of events, which refers to meetings in which all the directives and useful indications for carrying out the activity to be carried out are shared, starting from its contents and how to develop it.
There are many moments of sharing: the first and most important is the one that marks the beginning of the organization of an event, which begins with the presentation of the objectives and preferences by the client in relation to the event; in this phase the organizer or PCO must ensure that he has clearly understood what the purpose is – both concrete and in terms of visibility implications – for the client, such as his preferences, tone of voice and any critical issues to take into consideration; the PCO needs to make sure to collect any potentially useful information, asking the client all the necessary questions. On this basis, the PCO writes the project and defines the workflow, decides the most suitable format for the event, builds the work team, identifies the suppliers and expresses his professional opinion on various aspects, on which he has more extensive experience.
Usually, during the entire event organization phase there are more than just one briefing, as many updates can be useful. Furthermore, the moments of exchange between the PCO and his collaborators and any external suppliers are also briefings, to clarify goals, strategy, format and any useful detail of the aspects and activities they are called to deal with, from the phase of welcoming the participants to the catering.
